1. Information We Collect
We collect information you provide directly: name, email, specialty, career history, and content you post, including community posts and your conversations with AI coaching features. When you are signed in, we also collect usage data to improve the platform: the pages you visit, the features you use, how long you spend, and what you click. This includes session recordings, which replay how you move through the platform. Text you type into forms is hidden in recordings, and private areas (direct messages, conversations with the AI coach, resume and CV content, and uploaded documents) appear as blank boxes. You can turn off session recordings and click tracking at any time in Settings. Usage data is processed by our analytics provider, PostHog, and is used only to understand and improve Parallax. We do not sell your data to third parties.
2. HIPAA Alignment
Parallax is designed with HIPAA-aligned practices, but Parallax is not a healthcare provider and is not a covered entity or business associate under HIPAA. We do not require you to enter protected health information (PHI) about patients, and you should not do so. Career and professional information you share is treated as confidential and is used to train AI models only as described in Section 5.
3. How We Use Your Information
Your information is used to personalize coaching sessions, surface relevant community content, and improve platform features, including by training Parallax models as described in Section 5. AI coaching sessions use your professional background to provide contextual advice. Session content is not shared with other members.
4. Data Storage and Security
Data is stored on Google Cloud infrastructure with CHA encryption at rest and TLS 1.3 in transit. We maintain audit logs of all data access and modifications. Access is limited to authorized Parallax personnel on a least-privilege basis.
5. AI, Third-Party Services, and Model Training
AI features use a large language model. Text you submit to AI features is scanned for sensitive information before processing. We have opted out of AI training on your data with our AI providers, but may use your data to train Parallax Collaborative models to make them more physician specific. We do not share your content with any third-party AI training datasets.
“Parallax models” means AI models we build, fine-tune, or configure for use in the Parallax platform and host in our own cloud environment. Our AI providers do not receive Parallax models or our training data for their own use.
6. Data Retention
Account data is retained while your account is active. You may request deletion of your account and associated data by contacting support. When you delete your account, we remove your data from future training datasets. Data already used to train a model cannot be removed from that model. Certain audit records may be retained for compliance purposes for up to 7 years.
7. Your Rights
You have the right to access, correct, or delete your personal data. You may also request a copy of your data in a portable format. To exercise these rights, contact admin@parallaxcollaborative.com.
8. Changes to This Policy
We may update this policy from time to time. When we do, we will post the updated policy and revise the “Last updated” date. If we make a material change, we will make commercially reasonable efforts to notify you by email or through the platform before the change takes effect.
